BOOKING & AVAILABILITY


1. How do I book Rivanne Portrait Booth for my event?

Booking with us is easy and can be done entirely online. Just visit our online booking calendar to check our availability — if we're free on your date, you can select the package that suits you best and choose any add-on options right then. To reserve your date, you'll pay a retainer at booking, which counts toward your total balance (it's not an extra fee on top of your package). From there, we'll send you a quick intake form so we can learn about your event and confirm whether any additional fees, such as travel, apply. We'll keep in touch every step of the way and update your booking as needed.

Prefer a little help? Give us a call and we'll walk you through everything and build a custom invoice for you. You can also book a free, no-obligation consultation right through our online scheduler — just pick a time that works for you, so there's no phone tag or waiting on a call back at an inconvenient moment.

However you book, we recommend reserving your date as early as possible, especially for spring and fall weddings in Fredericksburg, Spotsylvania, and Stafford, when prime weekends fill up quickly.


2. How far in advance should I book?

For weddings, three to nine months ahead is ideal, and popular Saturdays can go even sooner. For corporate events, brand activations, birthdays, and parties, a few weeks to a couple months is usually plenty, but the earlier you reach out, the more likely your exact date and any custom design work can be accommodated. If you have a last-minute date, still ask — we'll always check.


3. What's included in every package?

Every Rivanne package comes with a curated backdrop, professional studio lighting, a custom-designed print template, unlimited photo sessions, a friendly on-site host, and an online gallery your guests can access after the event. We include a glam filter (color or black & white), a natural skin-smoothing option, your logos or custom overlays on prints, and text/email photo sharing when Wi-Fi or cell service is available. In other words, the good stuff is the standard, not the upgrade. Our three core packages are The Essential ($750), The Heirloom ($1,200), and The Grand ($1,500) — and you can add à la carte experiences to any of them.


SERVICE AREA & TRAVEL FEES


4. What areas do you serve? Do you travel outside Fredericksburg and Spotsylvania?

Yes! We're a Fredericksburg, VA-based photo booth and portrait booth company, and while our home base covers Fredericksburg, Spotsylvania, and Stafford with no travel fee, we regularly travel for weddings, corporate events, and celebrations across Central, Middle, and Northern Virginia — including Richmond, Charlottesville, Culpeper, Northern Virginia, and the greater DC area. Travel beyond our free zone is a simple flat fee based on distance (see the next question), so you always know the cost up front.


5. How much is the travel fee to my town or city?

Our first 30 miles are free and are already built into every package price, which covers most of the Fredericksburg / Spotsylvania / Stafford area. Beyond that, we charge one flat, friendly travel fee by zone — no confusing per-mile math. These are estimates confirmed when we quote your event (DC- and Northern-Virginia-area traffic can occasionally bump a town to the next zone):

Free Zone (0–30 mi) — No charge
Covers: Fredericksburg, Spotsylvania, Stafford, King George, Bowling Green, Thornburg, Ladysmith, Dahlgren, Ruther Glen

Zone A (~45 mi) — about $120
Covers: Culpeper, Ashland, Colonial Beach, Warrenton, Louisa, Orange, Montross, Woodbridge, Ruckersville

Zone B (~60 mi) — about $175
Covers: Richmond, Charlottesville, Manassas, Gainesville, Fairfax, Gordonsville, Springfield, Arlington (outer/edge)

Zone C (~80 mi) — about $250
Covers: Washington DC, Alexandria, Arlington (inner), Williamsburg, Winchester, and the Virginia Beach direction

Booking a photo booth farther out — think Virginia Beach, Norfolk, Roanoke, or Harrisonburg? We'd still love to be there; just reach out for a custom travel quote. (Note: venues with stairs or a long carry from parking may need our Mileage/Stairs Addendum, arranged in advance.)


CORPORATE EVENTS & BRAND ACTIVATIONS


6. Do you do corporate events and brand activations?

Absolutely — corporate work is one of our specialties. We provide photo booth rental for corporate events, company parties, brand activations, grand openings, conferences, trade shows, holiday parties, and employee-appreciation events throughout Fredericksburg, Richmond, Charlottesville, and Northern Virginia. Whether it's internal (for your team and employees) or external (for your customers, clients, and the public), our vintage open-air portrait booth turns any event into an interactive, shareable, on-brand experience.


7. What's the difference between an internal and an external corporate booth — and can you brand it for us?

Both are available for hire, and yes, we brand the whole experience to your company.

Internal / employee events — holiday parties, milestone celebrations, team-building, retirement send-offs, and staff-appreciation nights. Here the booth is about culture, morale, and giving your team a fun keepsake to take home, with your logo on every print.

External / customer & client events — grand openings, product launches, pop-ups, First Friday activations, farmers markets, trade shows, and VIP client nights. These are built as true brand activations: we can add custom-branded photo overlays, a digital email opt-in to grow your marketing list, a branded recap gallery, and usage rights to the guest photos so your business name and logo travel with every post your guests share. It's one of the most affordable, high-return ways for a Fredericksburg-area small business to drive foot traffic, capture local leads, and generate organic user-generated content (UGC).

THE BOOTH & THE EXPERIENCE


8. What kind of photo booth is it? Is it an enclosed booth or open-air?

Ours is a vintage-glam open-air portrait booth — a hand-built, real-oak booth on a tripod that looks like a classic antique camera but runs on studio-grade technology inside: a professional DSLR camera, soft studio lighting (including a beauty dish for flattering, camera-ready photos), and a live capture screen. "Open-air" means there's no cramped curtained box — guests pose in front of your curated backdrop, so you get better lighting, room for group photos, and a setup that actually looks beautiful in your reception space instead of hiding in a corner.


9. How much space does the booth need at my venue?

Our booth is a freestanding, tripod-mounted portrait booth with a separate printer stand and a backdrop, so it needs a bit of extra room compared to some modern options. Please reserve a clear, level area of about 8 ft wide by 8 ft deep with roughly 8 ft of overhead clearance, plus a grounded, accessible power outlet within reach. A nearby table and a liquid-proof trash can are also recommended, so guests have somewhere to set food and drinks — it keeps hands free for photos and protects our equipment from spills.


10. Do full-body photos need extra room?

Yes — full-length shots need more distance than waist-up ones. Waist-up photos of individuals, couples, and small groups fit within the standard 8x8 ft area, but if full-length photos matter to you, plan for a deeper space, closer to 10–12 ft. Additional space is needed for prop tables, the guest book, and experience stations (see the next question).


11. Do you need extra space for a guest book or experience station?

A little, yes. Our keychain keepsake station sits on its own table, so plan for about a 4–5 ft-wide area for it, plus room for guests and our attendant to gather. A guest book (included with The Heirloom and The Grand) also needs a small table — we can provide one, or your venue can. With The Grand, the keychain station and guest book can share a table or sit separately; we're happy to supply the tables or coordinate with your venue, planner, or designer on styling.


12. Do we get prints, digital photos, or both?

Both. Guests get their printed photo on the spot, and — depending on your package — an instant digital copy texted or emailed to them, plus access to a private online gallery of all the event's photos. Galleries are available for 30 days after your event. Print quantity depends on your package; The Grand includes unlimited prints all night.


13. Can you customize the backdrop, props, and print template to match my event?

Yes. You choose from our curated backdrop collections — the Heirloom Collection drapes or, with The Grand, our fully styled Grand Collection backdrops. Each Grand Collection backdrop comes with a curated "set" — faux florals, vases, candles, and pedestals — that completes the whole scene. Your print template is custom-designed to match your event — for weddings we'll coordinate with your palette and even your florist; for corporate events we build in your logo and brand colors. Want something specific, like a particular drape color, an extra floral piece, or custom name/logo signage? We can source it (billed at cost + labor) or make it in-house.


14. What kind of props do you have?

Our props are chosen to feel elevated, not cheap or tacky — quality pieces like cowboy hats, hand fans, parasols, and fun sunglasses (heart-shaped, aviators, and more). Premium props are included with The Grand. We also make custom props in-house — name signage, logos, and themed pieces — using materials like cardboard, foam, and (printed) vinyl, tailored to your needs and budget. Just ask and we'll design something that fits your event.


15. What experiences and add-ons can we add?

Popular add-ons include our Keychain Keepsake Station (guests turn a photo into a double-sided keychain on the spot — a favor and entertainment in one), a Photo Guestbook Station (guests place their photo in and sign next to it), the Custom AI Portrait Experience, and The Encore XXL Strip — an oversized reprint of a guest's favorite strip as a send-off moment. We also offer a roaming photographer who brings the camera to your guests (50% off with The Grand), plus magnets, postcards, glitter pin-ups, trading cards, and more. Not sure what fits? WEDDINGS


16. Why should I add a photo booth to my wedding?

Because a photo booth print is often the only wedding photo your guests actually take home and keep. Your professional wedding album is the important record of the day — but most guests never see it. A photo booth hands them a tangible, professional-quality keepsake that ends up on refrigerators and in wallets for years. Beyond that, a well-styled booth acts as a second focal point in your reception, fills empty space in large or barn-style rooms, and keeps guests entertained during cocktail hour and the early reception.


17. Do you provide a host or attendant? Do we need to run it ourselves?

You never run it yourself. A friendly, professional host is included with every package to set up, guide your guests, and keep everything running smoothly. The Grand includes a host and a dedicated attendant on-site for the full event, which is ideal for larger weddings and guided experiences like the keychain or guestbook stations.


PAYMENT, POLICIES & LOGISTICS


18. What's your payment and retainer policy?

A signed contract and a 25% retainer reserve your date, and that retainer counts toward your total balance — it's not an add-on fee. Any custom or sourced items (florals, sourced props, and similar) are paid before their production begins, so we can start making them. Your remaining balance is then due in full 7 days before your event. A signed card authorization is part of every booking.


19. What's your cancellation and rescheduling policy?

It depends on how close we are to your event date:

60+ days before: Full refund, less any custom work already started.

30–60 days before: Your retainer is non-refundable, but you're welcome to reschedule once to a new date within 6 months.

14–30 days before: Your retainer is non-refundable, and no further balance is due, aside from any custom work already begun, which is due in full.

0–14 days before: All payments made are non-refundable and non-transferable, and any remaining balance on your invoice becomes due in full — this applies regardless of how much you've paid so far, since your date can no longer be rebooked this close to the event and work has already begun.

20. What happens if it rains or the weather turns at an outdoor event?

Our booth can't operate in the rain, so we strongly recommend a backup location for outdoor events. A backup isn't strictly required, but without one your service is subject to cancellation without refund if the weather turns — so for outdoor events without a backup location, we'll have you sign a short addendum acknowledging this. In hot or sunny conditions, please also provide an umbrella or tent to shade our host/attendant and the equipment. The best insurance is simply having that covered backup ready.


21. Are there rules about food, drinks, candles, or sparklers near the booth?

A few, and they exist to protect the gear that makes your photos great. Food and drinks are never allowed on the booth, tables, or equipment — a single spill can damage professional equipment that costs thousands to repair. For fire safety, open flames, lit candles, and sparklers must stay back from our setup (electronic/battery candles are welcome up close), and we don't operate near active laser shows. We'll go over all of this in your friendly pre-event checklist so there are no surprises.
